Job Description
Essential job functions: With support from the Operations Manager, assist with the daily operations, events, and grant reports.
Tasks include, but are not limited to:
Assist with managing daily operations
Track and pay monthly expenses
Track donations and send donation letters to donors
Review all operational invoices and ensure they are submitted for payment
Manage and update information on website as needed
Track sick time/time off for all employees
Review and update VV handbook, and administrative and HR forms as needed
Research and create content for staff training
Implement safety protocol and ensure compliance with all safety policies
Coordinate and lead staff training and on-boarding for new employees
Write and submit grant reports as needed
Build partnerships with vendors and customers, and handle all communication with vendors
Assist customers with sales of seedlings at the site
In collaboration with the Executive Director, create and implement event plans
Manage logistics for each event; work with vendors, printers, obtain licenses and permits, write contract and agreement drafts.
Research potential sponsors and funders for Valley Verde events.
Write and send appeal letters and manage communication with funders, event sponsors and partners.
Collect and manage funder information and amount raised
Manage budget and invoices for events.
Create flyers and social media posts for event marketing/promotion
Requirements
Skills/Qualifications
Knowledge of organic seedlings/vegetable gardening a plus
Written and verbal proficiency in Vietnamese or Spanish preferred
Technical skills in electronic cash register, credit card and CalFresh payments.
Must have regular/reliable access to a vehicle with appropriate insurance for transportation
Must be detail oriented and accurately report statistics
Experience working in a multiethnic community environment and having multicultural literacy
Ability to develop professional relationships with vendors regardless of language barriers, cultural differences, or physical/mental abilities
Must be extremely organized and have the ability to prioritize projects to meet deadlines consistently
Must be able to work independently and collaboratively in a team, show creativity, and ability to initiate and complete projects with limited supervision
Strong verbal and written communication skills required
Excellent computer skills in Word, Excel, PowerPoint, Google Suite, Mailchimp, Canva, and Quickbooks
Represent Valley Verde at networking events and in the community
Education:
Bachelor’s degree in business, management or two years of experience in a management position strongly preferred
